Reporting to the Director of Auxiliary Services or designee, the Program Assistant plays an integral role in the educational value added in on-campus living, including planning and coordinating student activities, fostering community development and accountability, supporting the Director of Auxiliary Services with behavior intervention and the adjudication of student disciplinary cases and providing ongoing resource referrals for students. The position will support other business and operations tasks within the Student Residence Center (SRC), as assigned or needed. Program Assistant will actively seek opportunities to support co-workers and the Director of Auxiliary Services.

The Program Assistant is shift work, including weekends and evenings as assigned by the Director of Auxiliary Services. Shift differential (s/d) pay is applicable when a majority of a shift is worked between 5:00 p.m. to 7:00 a.m. Must be able to work overtime when needed, possibly even during periods of suspended operations for the rest of the campus. Reassignment of daily work schedule to cover other buildings when needed.

This is a 12-month, live-in position requiring evening, weekend, and holiday on-call duties. Rent and Utilities are provided by the Student Residence Center.

ESSENTIAL FUNCTIONS/TYPICAL DUTIES:
Student Communcation.
Establish rapport with residents.
Establish rapport with Yakima Valley College staff and multiple departments.
Setup and facilitate residence activities and events including games, movies, and crafts.
Assist with conducting floor meetings, conduct hearings, reporting, and correspondence.
Interpret and communicate housing policies, procedures, and regulations referencing the housing manual, contracts, and agreements when necessary.
In collaboration with the Director of Auxiliary Services, facilitate the roommate agreement process, housing policies, and mediate interpersonal conflicts.
Practice effective de-escalation techniques.
Provide sensitive, responsive, well-informed, and equity-minded resource referrals to housing residents.
Compile, distribute, communicate information including updates and program activities with residents weekly, monthly and quarterly.

ADMINSTRATIVE SUPPORT:
Attend and participate in department, staff, division, and committee meetings.
Assist in move-in and move-out processes.
Perform and monitor front desk/customer service operations, including enforcing staff procedures and managing resident resources, key organization and preparation, mail distribution, rounds of resident halls, lockouts, and update photo directory.
Participate in after-hours and on-call duty rotation, provide trauma-informed crisis intervention when needed, and deliver appropriate information for reporting and following up.
In collaboration with the Director of Auxiliary Services, assist in the reporting of facilities and technology maintenance and work order processing.
Support recruitment and retention efforts within the SRC.
Assist with Housing Management System(s)/other relevant software, including entering and tracking student data, running reports, facilitating room changes, and processing housing resident check-in and check-outs.
Assist with financial/purchasing reporting and reconciliation, i.e. purchasing credit card, Safeway cards, and weekly budget reports.
Assist in the planning and implementation of conference and guest or temporary housing services and initiatives.
Provide regular updates to the Director of Auxiliary Services and prepare quarterly and annual reports; input financial data.
Prepare narrative and/or statistical reports regarding program operations.
Maintain and monitor budget and inform supervisor of status.
Ability to research policies and regulations to improve community living.
Ability to thoroughly read through all required paperwork/documents and offer input of changes to improve upon future student living and cohesive office function.
In collaboration with the Director of Auxiliary Services, may direct the work of others including student custodial or work study workers.


MINIMUM QUALIFICATIONS:
High School diploma or equivalent, AND
Two years of full-time clerical experience OR
Equivalent education/experience

PREFERRED QUALIFICATIONS:
An earned Associate's Degree.
1+ year of professional experience in higher education or closely related field.
1+ year of professional experience in student housing and/or residence life.
Experience working with living/learning and/or theme communities. Experience assisting with investigating and/or resolving student conduct.
Willing and able to seek out and learn new technology skills.

ABILITY TO:
Develop strong, professional relationships with campus community.
Use computer skills, proficient in Microsoft Outlook, Word, Excel, PowerPoint and additional editing platforms.

PHYSICAL REQUIREMENTS:
Requires the ability to lift, carry, push, and pull objects up to 50 pounds.
Bending at the waist; kneeling and squatting/stooping; repetitive arm/hand movement
(extending the hands and arms to seize, hold, and grasp).
Reaching above shoulder level (including stretching upwards on tiptoe maintaining balance); sitting and standing for long periods of time.
Ability to go up and down stairs.
