Interested in hosting a meeting or event at one of our locations?
Our venues offer a variety of flexible spaces, ranging from small meeting rooms to gymnasiums that can accommodate up to 300 guests. Available spaces may include a computer lab, gymnasium, training center, and conference room.
Kitchen access is available at select venues and may be added to your reservation. Additional services such as catering and audio/visual equipment may also be requested during the request process.

All rental requests must be submitted at least 2 weeks in advance through the Interest Form.

Access begins at your scheduled rental start time, so please reserve enough time for setup and decorating. Tables and chairs are included, but decoration setup is the renter’s responsibility. See the Rules and Regulations for details.
Kitchen access is available at select venues—please refer to the Rental Rates & Fees. Kitchenware and cleaning supplies are not provided. Catering services may be selected through the Interest Form and are subject to availability based on event scheduling.
Audio/visual equipment may be available for an additional fee upon request. Tables and chairs are included with rentals and are not available separately.
Certain items and activities (including alcohol, smoking, firearms, open flames, grills, and some equipment) are restricted. Inflatables or jumpers are not permitted indoors but may be allowed outdoors with an appropriate power source.

Renters are responsible for cleanup, trash removal, staying within approved capacity limits, and only using authorized areas of the facility.

Parking instructions vary by location. For HBCC, please use the north parking lot, with overflow in the south lot.
TOBACCO, ALCOHOL, AND/OR SUBSTANCE USE IS PROHIBITED ON THE PROPERTY. OIC OF WASHINGTON IS A WEAPON-FREE ZONE.
APPLICATION: Applications for venue use must be submitted through the online Interest Form at least fourteen (14) days prior to the requested date. Applications submitted within fourteen (14) days may not be considered. All requests will be reviewed to determine venue availability and compliance with OIC of Washington policies, regulations, and scheduling priorities. OIC of Washington activities shall take precedence over all other requests.
If the requested venue is available and the application is approved, the applicant will be notified via email with payment instructions and next steps. Venue reservations are not confirmed until full payment has been received. Use of OIC of Washington venue shall be limited to the specific areas, dates, and times approved in the reservation. Any changes must be requested and approved in advance.
OIC of Washington activities shall have priority over community requests for venue use. A single application may be made for a series of meetings. Venue used shall be limited to those specified in the approved application. OIC of Washington reserves the right to reject any application when it believes it would be more appropriate than a commercial venue to be used.
CANCELLATION: OIC of Washington reserves the right to cancel any permit and refund the unearned portion of any payment made when it deems such action is in the best interest of OIC of Washington. The applicant shall give at least a two-day (2) notice to the Administration Receptionist of any cancellation of previously scheduled venue use. In case of failure to do so, OIC of Washington will charge for expenses incurred.
VENUE USAGE: OIC of Washington furniture or equipment shall not be removed from venue to which they belong except by authorized OIC personnel. Tables and chairs will be provided as part of the rental; however, OIC of Washington does not provide set-up for decorations or event-specific arrangements. Audio/visual equipment and other special-use items may be available upon request and may be subject to additional fees.
Access to the venue will begin at the approved rental start time. Applicants are responsible for reserving adequate time for set-up and decorating, as early access is not permitted. Gym shoes are required for activity-type games such as basketball, volleyball, etc., on the gymnasium floor.
Kitchen access, if included in the reservation, does not include kitchenware, utensils, or cleaning supplies. Applicants must provide their own supplies.
Applicants are required to remove, at their expense, decorations, tape, materials, equipment, furnishing, or rubbish left after the use of venue. Lit candles or combustible materials are not permitted. Prior to leaving the building, groups shall be responsible for cleaning up and putting in order those areas used by them.
DAMAGE: Venue will not be made available for any use which might result in undo damage or wear. All applicants may be held responsible for any expenses incurred by OIC of Washington arising from the use of the venue. In the event of damage, each applicant agrees to pay promptly OIC of Washington’s statement of the amount due.
RESTRICTIONS: There will be NO substance use, including tobacco or alcohol, in any of the venues. No food is allowed in classrooms, in computer labs or around computers. Only bottled water is allowed in the computer labs. OIC of Washington is a weapon-free zone. Gambling and lotteries will not be allowed in OIC of Washington venue. Keys to the building or venue requested will not be issued to any individual or group for entering the building for meetings or social gatherings. Doors will be opened by the maintenance crew or other OIC personnel.
Open flames, including candles, sparklers, and similar items, are not permitted inside OIC of Washington buildings. Grills or any outdoor cooking equipment are not permitted inside any venue. Heaters, hot plates, crockpots, or other warming devices are permitted.
Inflatables, jumpers, or similar equipment are not permitted inside due to flooring and power limitations; however, they may be permitted outdoors with an appropriate external power source. Coolers may be brought by the event organizer but are not provided by OIC of Washington.
Attendance must remain within the approved capacity of the reserved space at all times. Access is limited to the areas specified in the approved reservation. Decorations are permitted only if they do not damage walls, floors, windows, doors, or other surfaces.
PAYMENTS AND FEES: The Venue Use Agreement is not completed until the payment of fees has been paid in full, including the non-refundable deposit. All charges shall be paid to OIC of Washington’s Accounting office or via the link provided in the email. Use fees shall be paid in accordance with the Rental Rates and Fees and OIC of Washington policies. A charge shall be made for use of special equipment such as audio, projectors, and stage equipment, which may include additional time or service-related fees as outlined in the Rental Rates and Fees.
MISCELLANEOUS: Satisfactory sponsorship and adequate adult supervision are required for all activities. Event organizers must ensure appropriate supervision is provided at all times and arrange for additional safety measures, including police or fire services, when necessary. Designated adult representatives must remain on-site for the duration of the event and are accountable for their group’s conduct and compliance with all facility policies, as well as any direction provided by OIC personnel.
An OIC of Washington employee may be present at all times when an OIC venue is in use by any group, and Maintenance Technician will be responsible for closing and securing the building after use.
INDEMNIFICATION & LIABILITY: OIC of Washington shall not be liable for any injury to, or death of, any person or for any loss of or damage to any property occurring upon the rented premises from any cause whatsoever. The applicant will defend, indemnify and hold OIC of Washington harmless from all loss, damage, liability, or expense resulting from any actual or alleged injury to or death of, any person or from any actual or alleged loss or damage to any property caused by or resulting from any act or omission of the Applicant or any officer, agent, employee, guest, invitee or visitors of the Applicant.
The applicant shall, at its own expense, maintain liability insurance with an insurance company acceptable to OIC of Washington with at least $300,000 single limit liability coverage for both personal injury and property damage. OIC of Washington shall be named as an additional insured on such policy and shall be furnished with a copy of such policy upon OIC of Washington’s request.
All applicants may be held responsible for any expenses incurred by OIC of Washington arising from the use of the venue. In the event of damage, each applicant agrees to pay promptly OIC of Washington’s statement of the amount due.
