Yakima Valley College is accepting applications for Office Assistant 3 position. This is a full-time, in person, classified position. The beginning salary is $3,028 per month for 40 hours per week, with periodic increments up to $3,999 plus a full state benefits package

Reporting to the Director of Auxiliary Services or designee, the Office Assistant 3 (OA3) performs a variety of clerical duties in support of office operations in Auxiliary Services (Housing, International Students, Bookstore, Print Shop, and Contract Services). Under general supervision, the OA3 independently performs a variety of complex clerical projects and assignments such as preparing reports, preparing, reviewing, verifying, and processing fiscal documents and/or financial records, frequent requests for information, establishing manual or electronic recordkeeping/filing systems and/or database files, and responding to inquires requiring substantive knowledge of office/department policies and procedure. The OA3 may perform specialized complex word processing tasks in word processing unit or complex rapid data inquiry and/or entry functions, composing correspondence such as transmittals.


Essential Tasks
ESSENTIAL FUNCTIONS:

Respond to inquiries regarding rules, regulations, policies, department procedures, and department services: answers telephone; received and refers visitors.
Review documents, records, or applications for completeness, accuracy, and compliance with rules; determine and explain action necessary to achieve compliance or approval.
Keep accurate records of all prospective and currently enrolled students. Receive and record receipt of applications, application fees; create and send acceptance materials.
Compose office correspondence such as request for documentation and response to requests for information; devises, evaluates, and revises forms for internal use.
Review and verify fiscal reports for accuracy; investigates and corrects errors to ensure compliance with established procedures and policies; uses basic arithmetic to perform computations.
Maintain all accounts payable and accounts receivables related to Auxiliary Services, including, but not limited to resident room charges, fees, appliance rentals, and vending machines. Establish and maintain schedules, complex electronic or manual file systems or database files.
Prepare or assists in the preparation, compilation, and coordination of reports and records such as financial, resident room scheduling, maintenance work orders, equipment usage.
Compile and produce material such as technical and statistical reports requiring specialized knowledge and judgement in selection and treatment of data and format; prepares, tables, charts, and graphs as required.
Perform complex work and excel processing tasks, uses spreadsheets and database software to develop and maintain records.
Order, receive, and maintain inventory.
May assist in the preparation of reports by gathering and computing numerical information; draft for supervisor’s review narrative interpretation of information to be included in reports; review reports for clarity and accuracy; refer questionable data or narrative to supervisor for clarification.
Assists students with a variety of tasks such as check-in/check-out procedures, dorm inventory, opening and closing the housing complex, distributing mail. Preparation of other electronic or print information.
Communicate maintenance and upkeep regarding Auxiliary Services.
Training with new software.
Preform other duties as assigned.
Assignments and projects are of a complex nature.
Qualifications
MINIMUM QUALIFICATIONS:

High School diploma or equivalent, AND Two years of full-time clerical experience,
OR Equivalent education/experience.
PREFERRED QUALIFICATIONS:
An earned Associate’s Degree
1+ year of professional experience in higher education or closely related field.
1+ year of professional experience in student housing and/or residence life.
Experience working with living/learning and/or theme communities.
Willing and able to seek out and learn new technology skills.
KNOWLEDGE OF:
Customer service
Knowledge and proficiency in the use of Microsoft Office Suit
ABILITY TO:
Use computer skills; proficient in Microsoft Outlook, Word, Excel, PowerPoint and additional editing platforms.
Work independently under general supervision.
Work effectively with a diverse population of students, faculty, and staff.
