Yakima Valley College is accepting applications for two Human Resource Consultant Assistant 1's (HRCA1). These are full-time, in-person, classified positions. The beginning salary is $3,167 per month for 40 hours per week with periodic increments up to $4,194 plus a full state benefits package.
The Human Resource Consultant Assistant 1 supports our mission by providing a functional and technical role for Yakima Valley College’s administrative systems. This position is a crucial support to the Human Resources team, assisting with a variety of tasks, greet and assist employees, data entry into ctcLink, track data as needed, and assist within the Human Resources Department as needed. This position requires strong organizational skills, attention to detail, and proficiency in various software tools, including spreadsheet, database, Smartsheet, PowerPoint, and Canva. The HRCA1 will also schedule appointments and meetings, establish and maintain records.
This position reports to the Chief Human Resources Officer.
Essential Tasks
ESSENTIAL TASKS:
Greet and assist employees and visitors in a friendly and professional manner. Provide information and direct inquiries to the appropriate HR staff or departments.
Respond to phone calls and emails, ensuring inquiries are handled promptly.
Accurately input and update employee data in the Human Resource Information System (ctcLink), including new hires, position changes, and terminations.
Ensure timely and accurate processing of employee information, maintaining up-to-date records.
Verify the accuracy of job data, including job titles, classifications, pay rates, and department assignments.
Assist with developing training materials and resources, including presentations, handouts, and online modules.
Assist in preparing and organizing HR documents such as employment contracts, job postings, and benefits enrollment forms.
Maintain and update employee files, both physical and digital, ensuring compliance with HR policies and regulations. Responsible for following the SBCTC record retention schedule for archiving.
Monitor the Human Resource and/or Onboarding email inbox and distribute emails to the appropriate HR staff for follow-up.
Support the onboarding process by coordinating new hire paperwork and assisting with orientation as needed.
Conduct campus tours for new employees and visitors, providing information about campus facilities and resources.
Take photos as needed to for new employees, training, and activities as necessary.
Schedule appointments and meetings for the Human Resources team as needed, ensuring efficient coordination of activities.
Utilize spreadsheet and database software to maintain data entry and tracking of information, and program operations records. Use Smartsheet, PowerPoint, and Canva to create presentations of statistical information and other materials as needed.
Work closely with HR colleagues to ensure smooth operations and provide backup support where needed.
Perform any other related duties as required to support the goals and objectives of the Human Resources team.
Provide regular status reports to the Director of Human Resources.
Other related duties as assigned.
Qualifications
MINIMUM QUALIFICATIONS:
High School Graduate or equivalent
One year of experience in an office environment, preferably in human resources or a related field.
PREFERRED QUALIFICATIONS:
Two years of experience in an office environment, preferably in human resources or a related field.
Associate’s degree Business, Human Resources, or a related field.
Experience in higher education.
Strong computer skills, including the use of Microsoft Office Suite (Word, Excel, Outlook).
Ability to work independently under general supervision.
Ability to maintain confidentiality and handle sensitive information with discretion.
ABILITY TO:
Demonstrate excellent communication skills, including verbal, written, and active listening.
High attention to detail and accuracy in entering and maintaining employee job data in Human Resource Information System (ctcLink).
Manage multiple tasks and maintain organized records in an open office environment.
Maintain strict confidentiality of sensitive employee information.
Relate well to diverse populations, students, faculty, staff, and the general public in a friendly, courteous, respectful, and professional manner.
KNOWLEDGE OF:
Microsoft Excel, Access, and Word at the intermediate/expert level.
